We are seeking a dynamic, strategic, and hands-on Facilities Coordinator to lead our physical workspace operations across Spain. This individual will play a key role in supporting the company's expansion into new cities, designing functional and inspiring work environments, overseeing all operational services, and ensuring compliance, efficiency, and employee well-being across all office locations.

The ideal candidate will be experienced in project management, vendor coordination, contract negotiation, and health and safety compliance, with a strong understanding of workspace strategy, employee experience, and sustainability. You will be a critical part of delivering operational excellence, travelling around the new offices and partnering cross-functionally with teams across Expansion, People, Finance, and Executive Leadership.

The Main Event: What You’ll Drive, Build, and Own

Facilities & Workplace Operations

  • Design and implement a best-in-class Workplace & Facilities Management strategy aligned with company objectives.
  • Lead the day-to-day operations of our office spaces in Spain, ensuring smooth and effective functioning of services such as maintenance, cleaning, security, mail, reception, and more.
  • Oversee office layout planning, seating allocations, meeting room usage, and common area optimization to provide a productive and inclusive work environment.
  • Ensure all vendor contracts are up to date and meet our standards of service, cost, and compliance. Act as the first point of contact for all third-party providers relevant to the Spanish offices.
  • Ensure ongoing compliance with Health & Safety regulations, and maintain documentation and training aligned with legal requirements.
  • Support and execute internal events, as well as meetings or activities involving clients, partners or guests in any of our offices.
  • Act as a strategic partner to key teams such as People, Expansion, and Accounting to deliver excellent internal services.
  • Manage a small team of direct and indirect reports and inspire a strong performance-driven culture.
  • Approve and coordinate onboarding logistics for new hires, including workplace readiness and resources allocation.

Project Management & Expansion

  • Lead facility-related projects, including office openings, renovations, and relocations.
  • Manage office expansions into new cities: scouting, selecting, negotiating office spaces, and establishing operational infrastructure and services.
  • Coordinate office fit-out, procurement and installation of furniture, technology, and other necessary infrastructure.

Note: This position is based in Madrid, Spain, but requires constant travel across different regions, spending some time in the field. It is ideal for people who enjoy being on the move, working hands-on in dynamic environments, and adapting quickly to different local contexts. Experience & Background

  • Facilities/Workplace Operations experience in a corporate office setting, managing sites across multiple cities.
  • Proven track record in planning and managing new office openings and expansion projects from concept to launch.
  • Strong project management experience – from budgeting and execution to final delivery.
  • Demonstrable experience in procurement, contract negotiation, and vendor relationship management.
  • Familiarity with local Health & Safety, environmental, and labor regulations applicable in Spain.
  • Experience in coordinating corporate events, accommodation, and travel logistics is a plus.
