As PA to the CEO, you are bright and engaging, with a calm, problem-solving approach and a talent for organisation to join our rapidly growing team. You will work closely with our Founder & CEO to support him in his daily activities, in addition to easing our London office’s growth and helping to develop the company culture. You will feel comfortable liaising with people at all levels, and passionate about working in a vibrant startup environment. We’re a startup, things move fast and there’s a lot to do. You will also play a part in ensuring the office is running smoothly and the atmosphere is upbeat and fun!
What you'll be doing
- Provide extensive diary management including scheduling executive-level meetings, leasing with key external contacts, and internal 1:1 catch ups
- Prepare detailed international travel itineraries, booking taxis, flights and hotels, and making restaurant reservations
- Inbox management for CEO - Clearing out junk and flagging priority emails
- Management of CEO and Studio expenses
- Provide support to personal matters (about 30% of workload) discreetly and with a high-level of confidentiality
- Form excellent relationships with Appear Here’s network and act as an ambassador for the company, always remaining professional, approachable & a team player
- Manage the day-to-day operations of the office such as the ordering of stationary, food, drink & general office supplies, screening calls and providing exceptional Front of House service for all guests
- Champion our company culture - from organising weekly team lunches, away days and the occasional office prank… we need someone who is prepared to get stuck in and has a sense humour while they’re at it!
- Ensure the office is always looking its best and that all communal areas & meeting rooms remain tidy and presentable throughout the day - Starting with 8am set up to 6PM EOD set down
- Collect and distribute post to the team
- Assist with external events and monthly All Hands
